Dealership Communications
What is dealership texting software, and how do you text customers in a complaint manner?
Most service conversations are straightforward: the vehicle is ready, an approval is needed, or an appointment has changed. Reaching the customer should not require three calls and a voicemail.
Texting gives customers an easy way to respond without stepping away from work or rearranging their day. The challenge is giving your team that convenience without scattering conversations across personal phones, separate inboxes, and incomplete customer records.
Make service communication easier to manage
Texting lets customers respond when they have a moment rather than requiring them to answer immediately. Advisors can send appointment reminders, repair updates, approval requests, and transportation information while keeping the conversation connected to the customer.
Text should not be the only option. Some situations require a call or email. Some vehicle owners may also receive service communications through a supported OEM or dealership app. Whichever channel the customer uses, your employees need one current view of the conversation.
Build consent and opt-outs into the process
The Telephone Consumer Protection Act (TCPA) and related requirements can apply to dealership text messages. The specific obligations depend on the message, its purpose, and how it is sent.
Your dealership should obtain and document the appropriate consent, explain what customers are agreeing to receive, and provide a reasonable way to opt out. A double opt-in process can create a clearer consent record, but it does not replace the dealership’s responsibility to follow applicable federal and state requirements. Employees should also know how to handle opt-out requests written in ordinary language instead of relying on one exact keyword.
Keep messages connected when employees are unavailable
A customer should not lose access to the dealership because an advisor is out of the office. A shared dealership number and managed inbox can route or delegate messages to another authorized employee. The next person can review the available history and continue the conversation without asking the customer to start over.
Keeping texts, calls, emails, internal notes, and supported in-app interactions connected also gives managers better visibility into who owns the next action.
How myKaarma supports dealership communications
myKaarma Communications brings customer calls, texts, emails, and internal messages into a universal inbox as part of a service growth platform. The connected history gives employees more context, while customizable templates help the team send consistent messages without removing necessary personalization.
Routing and out-of-office tools can redirect communications when an employee is unavailable. Where a supported vehicle-owner app is available, in-app communications may provide an additional option for eligible customers.
For advisors and BDC employees, that means fewer disconnected conversations. For managers, it creates clearer ownership and accountability. Customers gain more ways to stay informed without having to track down an individual employee.
