Getting your service department ready for AI

All too often dealerships have turned to AI-powered customer service solutions only to find missed appointments, double booking and indecipherable call logs. In some cases, AI isn’t the right solution, but sometimes dealerships and service lanes just weren’t ready to add AI to their fixed ops workflows.

At myKaarma, we’ve spent years building and refining our service growth platform, and that includes adding intelligent AI solutions to customer service and appointments, video MPI coaching, service pre-diag and other AI integrations throughout our platform. We’ve found some successful strategies for dealerships and service departments to add AI to the service lane without sacrificing customer experience or wasting your employee’s time.

Give your AI assistant clear responsibilities

Start with the calls you want your AI assistant to handle. Routine scheduling, appointment changes, and after-hours requests can provide a manageable starting point and usually don’t require human hand-off. Define which requests need an advisor, including repeat repair concerns, disputed charges, or arrangements that require approval and give your team clear guidelines and training to handle AI-created appointments.

Document appointment types, scheduling restrictions, and the promises an assistant can make and what actions it could take. As Animesh Pathak, myKaarma’s VP of Engineering & R&D, explained at the Dealer Innovation Summit: “The key is to write down the instructions you would give a team member.”

Connect your DMS and service lane technology

Your dealer management system (DMS) holds core dealership records, including customer, vehicle, OEM and repair-order information. Service lane technology, such as myKaarma, supports activities such as scheduling, customer communication, and check-in. Reliable information exchange between these different parts of your workflow is a fundamental part of AI readiness.

If your DMS and SLT don’t connect, any AI assistant will have a harder time completing service tasks reliably. It may collect a new service request successfully while your employees still have to reconcile records or enter information again. Customers can end up repeating details they already provided or get the “default” recommendations instead of intelligent AI-based pre-diagnostic connected to service records and vehicle data.

Test the complete appointment journey

Test a new booking, a reschedule, and a cancellation to confirm which system supplies availability, where appointments are saved, and how updates reach employees. Verify that each change appears correctly in the systems your team relies on. Without the right information and integration, your AI answering tools don’t ask the right questions and can’t schedule appointments accurately.

Make every human handoff someone’s responsibility

People can get frustrated dealing with automated system and an AI-to-human transfer only helps when your employees can receive it and continue the conversation. Assign responsibility for escalations during business hours, and establish a callback process for requests that arrive after closing.

Give customers an accessible way to request a person and keep an eye on call logs, hand-off reasons and other gaps where customers can’t find the resources or support they’re looking for. Train employees to find the conversation summary, acknowledge the request, and record the outcome. That preparation makes the handoff part of the daily workflow.

Testing and expanding AI-powered workflows

Before making any changes to your workflow and fixed ops process, start by measuring and benchmarking your service metrics so you know what’s actually working when adding and updating AI in your service department. Begin with a defined group of calls, such as peak-hour overflow. Involve the advisors and BDC employees who will receive the appointments and escalations. Their feedback can reveal missing information or extra steps before you expand.

During the pilot, track correct bookings, completed handoffs, repeat calls, and time employees spend correcting AI-created work. Take a closer look at failed interactions to see what hand-offs, information and other communications can be improved to keep customers engaged.

How myKaarma supports connected service workflows

myKaarma is a service growth platform built for franchise dealership fixed operations, bringing scheduling, customer communications, inspections, and payments into connected workflows.

Its AI voice scheduling and pre-visit intake solution, ServiceConcierge with Service Pre-Diag, can handle appointment requests, gather vehicle concerns, and provide context for dealership teams. ServiceConcierge connects with myKaarma’s service appointment scheduler, Scheduler+, to follow configured scheduling rules and capacity.

Evaluating those capabilities against your store’s DMS connection and handoff process helps establish what the assistant can complete and where employees need to step in.

Check your readiness before expanding

Before you route more calls to AI, confirm that:

  • Your team has documented scheduling rules and escalation triggers.
  • Your DMS and SLT exchange the information required for the workflow.
  • Every human handoff has an assigned owner and a backup process.
  • Your pilot shows accurate bookings and manageable follow-up work.

Start with one call type and follow it through to completion. Fix the gaps you find, then expand coverage as your team and systems prove ready. Request a demo to explore how myKaarma can support AI call handling within your dealership’s service workflow.
